Publication and Event Support Specialist
Position Overview
The Publication and Event Support Specialist plays a critical role in producing high-quality conferences and supporting select publication workflows. This position is responsible for coordinating selected presenters and subject matter experts (SMEs), managing event data, and being part of a team that brings first-rate professional development to higher education faculty and staff. The major goal of this role is assist in the development of conferences that meet customer needs.
Key Responsibilities
- Event & Conference Support
- Accurately update and maintain presenter and presentation information in project management database.
- Generate event reports, identify missing information, and follow up with subject matter experts to meet required deadlines.
- Serve as a primary point of contact for presenters by answering questions and coordinating logistics.
- Communicate professionally with suppliers, exhibitors, and presenters.
- Work closely with the Content Manager to create agendas and schedules that optimize the customer experience.
- Process Improvement & Value Creation
- Identify opportunities for process improvements, cost savings, and added value across events and publications.
- Contribute ideas openly and participate in discussions to improve workflows and outcomes.
- Database & Research Support
- Update and maintain accurate contact information using LinkedIn and other research tools.
- Ensure all databases are current, complete, and error-free.
- Publication Support
- Use Adobe InCopy to format and set up journal articles three times per year.
Required Skills & Qualifications
- Strong project management skills with the ability to prioritize multiple deadlines.
- Excellent written and verbal communication skills, particularly when working with higher education subject matter experts.
- High attention to detail and accuracy, especially when managing databases and reports.
- Strong writing skills for customer-facing and presenter communications.
- Ability to work independently while collaborating effectively with cross-functional teams.
- Flexible and agile, with the ability to adapt as circumstances change.
- Comfortable using technology and learning new systems (Quickbase, InDesign, LinkedIn research).
